School Policies

Fees and refunds, attendance, health, conduct, and the other expectations that families agree to when they enrol at ISOB.

Fees, Payments and Refunds

Tuition is an annual fee. Families may pay it in full or in monthly instalments, but the amount owed is for the full school year unless a student withdraws under the rules below.

Payments

  • Tuition may be paid in 10 monthly payments, in full, or in 12 monthly payments. Each payment is due by the date on its fee challan.
  • A fee of $25 applies to each returned or declined payment.
  • If a balance is 30 days overdue, the school will contact the family to agree on a payment plan. A student cannot be re-enrolled for the next school year until any outstanding balance is paid.

One-time and annual fees

  • The registration fee ($150, when charged) is non-refundable. It is refunded in full only if the school does not offer the student a place.
  • The annual supplies fee ($250) and ancillary fee ($200) are refunded in full if written notice of withdrawal is received before August 1. From August 1 they are non-refundable, because materials are ordered for the student.

Withdrawing from the school

  • Withdrawal must be given in writing by email to contact@pischools.ca. The date the email is received is the notice date.
  • If notice is received before August 1, no tuition is owed for the coming school year.
  • After that, the family owes tuition for each month the student attended, plus one additional month as notice. One month of tuition is the annual tuition divided by 10.
  • If a student withdraws on or after April 1, tuition for the full school year is owed.
  • Any amount paid beyond what is owed is refunded within 30 days, using the original payment method where possible.
  • The same rules apply if the school asks a family to withdraw a student.

Absences and closures

  • Tuition is not reduced for absences, family travel, snow days, holidays, or other school closures.
  • If the school must close for more than two consecutive weeks, school leadership will review how tuition is handled and inform families in writing.

Sibling discounts

  • For sibling discounts, the child with the highest tuition is counted as the first child.
  • If a sibling withdraws, the discounts for the remaining children are recalculated from the following month.

Before and after school care

  • Before and after school care is billed monthly and is not refunded for the current month.
  • To stop care, give one month of written notice.

Weekend School and Summer Camp

Weekend School

  • Tuition is $75 per child per month and is non-refundable after the first week of the month. Missed classes are not refunded and make-up classes are not provided.
  • The annual supplies fee ($150 per child) is non-refundable.
  • To withdraw, notify the school in writing before the next month begins.

Summer Camp

  • The deposit ($50 per child) is credited toward camp fees and is non-refundable.
  • Cancellations received at least 10 business days before camp starts receive a refund of all fees paid other than the deposit. After that, fees are not refunded.
  • Fees are not refunded for missed days, partial weeks, or a child being sent home for conduct.

School Closures and Holidays

  • The school closes for weather when Grand Erie District School Board cancels school buses or closes its schools, or when the City of Brantford declares a closure or emergency.
  • The school is closed on Ontario statutory holidays that fall on school days, and for Eid al-Fitr and Eid al-Adha. Exact dates are published in the school calendar each year.
  • Closure notices are sent to families by email by 7:00 AM and posted on the Announcements page.

Attendance and Punctuality

  • Students are expected to attend every school day and arrive on time.
  • Parents should notify the school before the start of the school day if a student will be absent or late.
  • Students who arrive late must be signed in at the office.
  • For an absence of more than five school days, including family travel, notify the school in writing in advance. Teachers are not required to prepare work ahead of time.
  • Repeated lateness or unexplained absences will lead to a meeting with the family.

Arrival and Dismissal

  • Students are supervised from the posted start of supervision. Families who need earlier drop-off or later pick-up should register for before or after school care.
  • Students are released only to parents or adults listed as authorized on the student's file. Changes must be given to the office in writing.
  • Parents must give the school a copy of any custody order or court order that affects pick-up or contact.
  • For early dismissal, notify the teacher in advance. A parent or authorized adult must sign the student out at the office.

Health, Medication and Allergies

Illness

  • Keep your child home if they are too unwell to take part in the full school day, or if they have a fever, vomiting, or diarrhea. The school follows Grand Erie Public Health guidance on when children can return.
  • If a student becomes ill at school, parents will be asked to pick them up promptly.
  • A student with head lice may return once treatment has started.

Medication

  • Staff give medication only with a signed medication form from the parent. Medication must be in its original labelled container.
  • Staff do not give over-the-counter medication without a signed form.

Allergies, asthma and concussion

  • ISOB is a nut-aware school. Food containing nuts should not be sent to school.
  • Students with a life-threatening allergy or asthma must have an individual plan on file. Where the plan allows, students may carry their own epinephrine auto-injector or inhaler.
  • A student with a suspected concussion is removed from activity, and parents are contacted. The student returns to physical activity only when the parent confirms, in writing, that they have been cleared.

Immunization and emergencies

  • Ontario law requires every student to have an up-to-date immunization record or a valid exemption on file with Grand Erie Public Health.
  • In a medical emergency, the school will contact parents and emergency contacts. If no one can be reached in time, the school may arrange emergency medical care.

Food and Lunch

  • Only halal food may be brought to school.
  • Pop, energy drinks, candy, and gum are not permitted. Please send healthy lunches and snacks.
  • Students may not share food, to protect classmates with allergies.
  • Classroom celebrations use non-food items.
  • During Ramadan, students who are fasting are supported, and a supervised space is provided for students who eat lunch.

Islamic Life at ISOB

  • Students pray Dhuhr together each school day and attend Jumu'ah on Fridays.
  • Quran, Arabic, and Islamic Studies are part of every student's program.
  • Students are expected to show good adab toward teachers, classmates, and guests.

Dress and Footwear

  • There is currently no school uniform. Students wear modest, comfortable clothing that follows Islamic guidelines.
  • Students should bring outdoor shoes suitable for recess and outdoor play, and weather-appropriate outerwear.
  • Students need clothing suitable for physical education.

Code of Conduct

Expectations

  • Students treat staff, classmates, and school property with respect.
  • Bullying, harassment, and discrimination are not tolerated, whether in person or online.
  • Phones and personal devices must be switched off and handed to the teacher during the school day. Devices used without permission are returned only to a parent.

When expectations are not met

  • Most concerns are handled by the teacher, and parents are informed.
  • Repeated or more serious concerns lead to a meeting with the principal and parents.
  • For serious or continued misconduct, the school may suspend a student. Parents are informed in writing and meet with the principal before the student returns.
  • Expulsion is a last resort for serious misconduct or when a student's continued attendance puts others at risk.

Admissions and Enrolment

  • Students entering Junior Kindergarten must turn 4 by December 31 of the school year. Students entering Senior Kindergarten must turn 5 by December 31.
  • Families provide proof of age, the student's immunization record, any custody or court documents, and the most recent report card if the student attended another school.
  • New students have a one-month probation period, so the school and family can confirm that ISOB is the right fit.
  • Returning students must re-enrol for each new school year by the posted deadline to keep their place.

Communication and Concerns

  • The school communicates with families by email and through the Announcements page.
  • Meetings with teachers are by appointment, not during class time.
  • Students receive a fall progress report and report cards during the school year.
  • If you have a concern, speak first with your child's teacher. If it is not resolved, contact the principal, and then school leadership.
  • Please raise concerns directly with the school rather than on social media.

Safety, Child Protection and Privacy

  • The school holds regular fire and lockdown drills.
  • Visitors sign in at the office.
  • Staff and volunteers who work with students must provide a police vulnerable sector check.
  • Under Ontario law, staff must report any suspicion that a child may be in need of protection to Brant Family and Children's Services.
  • Student records are kept confidential and are available to parents on request.
  • Photos or student work are shared outside the school only in line with the media consent given at registration.
  • Smoking and vaping are not permitted on school property or within 20 metres of it.
